Challenge: Up to 150 slides, plus a Word SOW
“Our proposals come from several big decks, and which slides go in depends on who is selling. Then there's the summary after each discovery call. This takes me an hour to write.”
Elixir sells expertise, so the proposal carries the whole deal. Before GetAccept, building one meant pulling from several decks covering implementation approach, team bios, capabilities and references, then creating custom slides from scratch for each deal. A pitch could run to 150 slides, and finding the right ones depended on who was selling.
The SOW (Statement of Work) lived in Word. Someone downloaded it, edited it and sent it off for signature, separate from the commercial story the buyer had just seen. Managing directors in each market own the sales, and they all worked from different assets and processes.
That meant manual work at every handoff and a buyer experience that depended on which managing director happened to be selling. The pitch and the paperwork could drift apart before the buyer ever signed.
The slowest step came right after the discovery call, where Carl turned each conversation into a structured summary using Elixir's PROVES methodology.
Once the proposal went out, Elixir could only see whether a document was opened. Who exactly was engaging with it, and how, stayed a mystery. Project teams often inherited a deal without knowing everything discussed during the sale.
As a result, Elixir's win rate on up-market deals floated around 30% before it started using GetAccept. Carl wanted that number higher.
Solution: A proposal the buyer helps build
“Now we shape the proposal together with the prospect, so there's no take-it-or-leave-it. When you approach deals this way, you don't lose momentum, and the prospect is much more engaged.”
In a GetAccept Deal Room (part of the AI Digital Sales Room), the proposal starts small and grows with the opportunity. Elixir adds the company presentation, meeting notes, video and quotes one step at a time as the deal develops.
The buyer gets one room link to explore and respond to, leaving behind the endless emails and calls it used to take to agree on a scope. When Elixir walks professional-services firms through the idea on the phone, they always lean in.
That matters because deals lose momentum in the gaps: the days between a meeting and the next version of the proposal. A room that grows with the conversation closes those gaps, and the whole buying group can follow along.
Carl's description of the buyer side is shorter: the room is "way beyond an Excel file or a PDF." Within its first six months of using Deal Rooms, Elixir's win rate on up-market deals doubled, from 30% to 60%.
HubSpot as the operational backbone
Elixir already runs its sales process in HubSpot, so HubSpot stays the source of truth for customer and commercial data while GetAccept handles the buyer-facing experience.
From a HubSpot deal, Elixir can create a Deal Room, a Contract Room, or a non-signable document without rebuilding the deal by hand. Company, contact, deal and custom-field data flow into templates through merge tags, filling in company details, dates, contacts and contract fields.
HubSpot line items can feed GetAccept pricing tables, so the same commercial information appears in the Deal Room and in the final contract. Deal Room activity flows back into HubSpot, giving managers deal-level signal alongside everything else in the CRM.
The path runs from HubSpot deal to personalized Deal Room, to accurate pricing and proposal, to contract and e-signature. For a consultancy where every proposal is customized and the contract has to match the agreed scope, that cuts duplicate data entry and keeps the process consistent across the sales team.
From call transcript to buyer-ready proposals and Deal Rooms in minutes
“I add the transcript, rewrite it in five or ten minutes, and have a ready buyer-facing proposal. The goal is to get something in front of the buyer while the conversation is still fresh.”
Elixir now feeds meeting transcripts into GetAccept AI, which drafts the Deal Room content in minutes: business pain, process pain and desired outcomes, plus an executive brief.
The team then reviews and refines the AI output before sharing it, which now takes 5–10 minutes of editing compared to an hour of writing the discovery narrative manually. Across the whole proposal, Carl puts the time saved at up to 30%.
Before, project teams used to inherit a deal without knowing everything discussed during the sale. Now the discovery notes, the buyer’s priorities and the proposal history all sit in the Deal Room.
When a deal is won, GetAccept AI can structure that material to fit Elixir’s own sales-to-delivery handover template. The consultants who deliver the project start from the same picture the buyer saw, not from a hand-written summary.
Seeing the whole buying group
“You see which additional decision makers are brought into the proposal. When you see 10 or 13 people logging in, you know there's momentum.”
Previously, a sent PDF showed Elixir one thing: opened or not. A Deal Room shows who joined the room, what they read, how long they spent on each document, and whether the deal is picking up speed or needs a targeted nudge.
In one room, 10 to 13 people logged in. For the Elixir team, the extra decision makers are among the biggest gains, contributing to the 2x win rate.
Selling what they use
“What GetAccept offers and what we do really go hand in hand.”
Elixir didn't want to recommend a tool it hadn't used itself. So its consultants learned GetAccept on live deals first, through workshops and hands-on HubSpot training, and co-designed the professional-services templates with us.
That experience changed how they pitch it. Elixir and GetAccept have run a joint webinar for professional-services firms on selling with a Deal Room.
For Elixir, a GetAccept conversation opens a bigger one: how the buyer's CRM and sales process are set up, and where the bottlenecks sit. That is the work Elixir does every day, and it is now actively promoting GetAccept in Germany and France as well.
Elixir and GetAccept are now scaling the collaboration beyond the initial rollout. The teams are prioritizing the strongest opportunities from joint webinars, events and partner referrals, with continued coordinated co-selling.
Elixir is also deepening its own use of GetAccept across proposals, Deal Rooms and contracts. That hands-on experience is helping Elixir guide more professional-services and integration-focused companies toward better sales and contracting workflows.
