At a glance

Blue Haven National Management is a large pool builder serving customers across all income levels. Their sales process starts in the customer’s home, where designers create tailored pool concepts based on each customer’s vision, then build pricing based on selected features and specifications.

But before GetAccept, one part of the sales journey created an avoidable delay: the contract.

Manual contracts slowed down the moment that mattered most

Once pricing was agreed, designers either completed handwritten agreements or filled out PDF forms before uploading them into DocuSign or Adobe for signature.

That process could take anywhere from 45 minutes to several hours, depending on customer availability and responsiveness.

In some cases, the full contract process stretched much longer. What previously could take up to one week can now be completed in as little as two minutes when contracts are generated automatically at the point of agreement.

That timing mattered because sales momentum often disappeared once the meeting ended.

“Once you leave the home, if you have to send a contract later, it leaves the window open for the customer to get cold feet and back out of the deal.”

Contracts generated instantly from CRM data

What stood out with GetAccept was how contract creation could be integrated directly into Blue Haven’s CRM workflow.

By using Contract Room with API integration, pricing data flows directly into automated contracts, removing the need to manually create PDFs or upload files to separate signing tools.

Today, contracts can be created and shared immediately during customer meetings. This has reduced administrative work for sales reps and made the sales process more efficient.

“It has allowed them to be more efficient, which frees them up to be able to go on more appointments and meet with more potential customers", says Business Intelligence Manager Anthony Kelly.

Higher visibility across contracts and sales activity

Beyond contract speed, Blue Haven also gained more control over sales activity. Managers can now track:

  • contracts sent
  • contracts signed
  • total contract value

This makes it easier to compare sent contracts against closed deals and verify sales activity across teams.

Faster follow-up while customer intent is still high

Blue Haven highlights engagement tracking as one of the most valuable capabilities. Document activity alerts make it easier to see when customers engage – or when they do not.

That allows sales teams to follow up faster and reduce the risk of leads cooling off during contract stages.

The team also points to real-time chat as a useful way to answer customer questions without slowing down progress.

A simple rollout with measurable impact

Blue Haven describes implementation as simple and quick. The result has been a faster contract process, reduced manual work, and higher close rates among offices using the platform.

“The GetAccept team has been incredibly responsive and easy to work with. They make everything feel simple and quick.”
